Original Cataloging Policy

Perform Original Cataloging by creating new bibliographic records for required materials as needed, and provide authority records as part of the regular cataloging workflow. Provide information about headings: names, subjects, uniform titles, and apply content designations for all titles in accordance with the MARC 21 Authority format.

Use the current edition of the Library of Congress (LC) Classification Schedules as reference tool when assigning call numbers in field 090 for STCC library materials cataloged. For general rules in cataloging, use the Anglo-American Cataloging Rules (AACR2r), and current LC Subject Headings.

PERFORMING ORIGINAL CATALOGING

    1.   Create a Local file in OCLC CatME.

  1. Use OCLC CatME to create an original record. Open the Edit menu and choose
  2. a Workform for the type of material you are cataloging, such as books, sound

    recordings, musical scores, serials, etc.

  3. To create new bibliographic records, you may use the following sources of information for each material listed below. Refer from the current editions of the following publications: (a) selected rules and examples from the Introduction to cataloging and classification by Bohdan. S. Wynar, Col. : Libraries Unlimited, 1992. (b) MARC for Library use : understanding integrated USMARC. 2nd ed. by Walt Crawford. Boston : G. K. Hall, c1989., and (c) Bibliographic Format and Standards. Dublin, Ohio : OCLC Online Computer Library Center, Inc., 1996.

TYPE OF MATERIAL CHIEF SOURCE OF INFORMATION

(a) Books, Atlases. Title page and Verso to reflect the final form in

the DRA/OCLC database.

(b) Other cartographic items The container, case or cradle and stand of a globe.

(c) Sound recordings Label, Reel & label, Cassette and label, Cartridge

and label, Container and label.

    1. Motion pictures and

Video recordings The title frames, cartridge, container and its label

(e) Graphic materials Item itself, fixed labels or containers.

  1. Provide the appropriate information in the variable data fields before editing the fixed-field elements in the workform when creating new bibliographic description for each item.
  2. Press < Enter> to insert new lines in the workform when necessary.
  3. Use < Ctrl><D> to enter a subfield delimiter or dollar sign ($). Leave 4 spaces between the tag and the start of the data.

  4. Input the item code for Institution creating the new record (TOF) in field 040 (subfield c) and the appropriate local call number in the 090 field instead of 050 field.
  5. Create local symbols and item records in the 049 field to show location information for all titles in each library. That is: TOFA = Macon Cove Campus, TOFU = Union Campus; TOFG = Gill Campus, TOFS = Southeast Campus, TOFW = Whitehaven Campus
  6. CLASSIFICATION AND CALL NUMBERS

    The Call Number assigned to a book indicates its subject matter and author. The LC call number is composed of the class or classification number and the book number. The book number is referred to as the Cutter Number, which stands for the author of the book and sometimes the title. A location symbol is added to the call number if the item is a reference or reserved material. (See example below)

  9. Use Cutter Numbers revised by LC, which is composed of the initial letter of the main entry heading, followed by Arabic numerals.

  11. Click on the appropriate icon to save in the local file. Edit records. Validate and produce before exporting records to OCLC database.
  12. Provide monthly statistics of titles and volumes cataloged and shipped to each library for the annual reports as well as personal evaluations.
